We are seeking a highly organized and proactive HR & Admin Officer to join our team in Saudi Arabia. The ideal candidate will be well-versed in Saudi Labor Law and regulatory compliance, and will play a key role in managing administrative operations, employee records, onboarding/offboarding processes, and ensuring the company meets all legal and regulatory obligations.
Key Responsibilities:
HR Operations & Employee Relations
- Maintain up-to-date employee records, including personal data, attendance, and leave tracking.
- Handle full-cycle employee onboarding and exit formalities.
- Act as the first point of contact for all employee HR-related queries.
- Support recruitment efforts including coordination, scheduling, and documentation.
- Assist with performance management processes and documentation.
- Handle disciplinary and grievance matters in coordination with the HR Head.
- Manage pay card details and payroll coordination for workers.
- Assist in the preparation of HR reports and support ad hoc HR projects.
Administrative Duties
- Manage reception duties and serve as a liaison between internal departments and external vendors.
- Maintain and update utility reports, vehicle records, and maintenance contracts.
- Handle petty cash and obtain quotations as needed.
- Assist in internal logistics including travel arrangements and expense processing.
- Handle documentation and maintenance of company vehicles.
- Maintain company records and archives according to internal policy and legal standards.
Compliance & Regulatory Coordination
- Work closely with the PRO to ensure timely processing and renewal of:
- Iqama, Work Permit, Exit/Re-entry Visas
- GOSI Registration and Updates
- Chamber of Commerce Certificate
- Commercial Registration (CR)
- Municipality License
- ZATCA (Tax & E-invoicing) Compliance
- Immigrations and Labor Office documentation
- Ensure HR practices are fully aligned with Saudi Labor Law and ministry regulations.
- Stay up-to-date with local regulatory changes and provide guidance to management on compliance matters.
- Requirements:
- Education: Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- Must have a Saudi driving license
- Experience: Minimum of 2-3 years of experience in an administrative or office management role in Saudi Arabia; preferably in Dammam.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with office equipment (printers, fax machines, etc.) and basic IT troubleshooting.
- Language Skills: Fluent in English and proficiency in Arabic is highly desirable.
- Communication: Excellent verbal and written communication skills. Ability to interact professionally with colleagues, clients, and visitors.
- Organizational Skills: Strong organizational and multitasking abilities. Ability to prioritize tasks and manage time effectively.
- Attention to Detail: High level of accuracy and attention to detail in all administrative tasks.
- Problem-Solving: Strong problem-solving skills with a proactive approach to identifying and addressing issues.
- Adaptability: Flexibility to adapt to changing priorities and work demands. Ability to work independently and as part of a team.
- Ability to exhibit composure, patience, and confidence when facing difficult situations
- Self-starter with a proven track record of multi-tasking abilities
- Hands on experience with various types of HR policies design and implementation.
- Good knowledge of Saudi labor law and industry practices.
