The Assistant to CEO will provide high-level administrative and operational support to the CEO and Executive Office team. This role requires exceptional organizational skills, the ability to work in a fast-paced environment, and a proactive approach to anticipating needs and ensuring smooth execution of all CEO-related tasks. The ideal candidate is highly detail-oriented, quick, and capable of managing multiple priorities while maintaining the highest standards of professionalism and confidentiality.
Key Responsibilities
- Manage the CEO’s schedule, including meetings, invitations, and travel arrangements.
- Track all requests made by the CEO to internal and external parties, ensuring timely follow-up and completion.
- Proactively remind and follow up with the CEO on pending items requiring his input or action.
- Act as the primary point of coordination for internal and external communications on behalf of the CEO.
- Prepare meeting materials, briefs, and follow-up documentation.
- Maintain well-organized records and ensure all relevant information is readily accessible.
- Identify opportunities to improve workflow, efficiency, and time management for the CEO.
- Leverage AI tools (especially ChatGPT) to increase productivity, streamline tasks, and support decision-making.
- Coordinate with other departments to ensure seamless communication and task execution.
- Occasionally work outside standard office hours, including weekends or evenings, as required.
Requirements
- Based in Riyadh, Saudi Arabia.
- Fluent in English and Arabic (spoken and written).
- Minimum 3 years of experience supporting senior executives.
- Exceptional memory and organizational skills; strong ability to capture and follow up on tasks.
- Highly proactive, anticipates needs and initiates action without direction.
- Proficient in AI tools such as ChatGPT and other productivity technologies.
- Comfortable working flexible hours, including evenings or weekends when required.
- Maintains discretion, professionalism, and confidentiality at all times.
- Bachelor's degree preferred; strong communication and writing skills.
