The Executive Assistant plays a critical role in supporting Quant’s executive leadership team by providing high-level administrative and operational support. This position ensures the seamless execution of executive tasks, manages schedules, coordinates internal and external communications, and facilitates decision-making processes. As an integral part of Quant, the Executive Assistant upholds professionalism and confidentiality, embodying the company’s commitment to excellence in the Data Science and AI industry.
Responsibilities and Duties
- Provide comprehensive executive support to the leadership team.
- Manage executives’ calendars, schedule meetings, and coordinate travel arrangements.
- Prepare reports, presentations, and correspondence with accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders on behalf of executives.
- Organize and support executive meetings, including agenda preparation, minutes-taking, and action tracking.
- Coordinate logistics for leadership, board meetings, and company-wide events.
- Handle document processing, approvals, and compliance with company policies.
- Assist in budget tracking, expense reporting, and procurement requests for the executive team.
- Oversee and streamline administrative workflows to enhance efficiency.
- Assist in driving strategic initiatives by coordinating tasks, following up on deliverables, and ensuring deadlines are met.
- Support special projects, data analysis, and research as needed.
- Manage highly sensitive information with discretion and professionalism.
- Ensure executive operations comply with company policies and governance standards.
Requirements

- Excellent verbal and written communication skills in English (Arabic is a plus).

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with corporate communication tools (e.g., Slack, Zoom, Microsoft Teams).
- Experience in preparing professional business documents and correspondence.
- Ability to manage competing priorities and meet deadlines.
- 2+ years of experience as an Executive Assistant or in a similar role supporting senior leadership.
- Bachelor’s degree in Business Administration, Office Management, or a related field (required).
