Job Summary:
The Purchasing Coordinator supports the procurement operations of the hotel or hospitality property by sourcing supplies, managing vendor relationships, monitoring inventory, and ensuring timely deliveries. This role ensures departments have the resources they need to operate smoothly, efficiently, and cost-effectively while maintaining quality standards.
Key Responsibilities:
- Process purchase requests from various departments and obtain required approvals.
- Source, order, and follow up on purchases for departments including F&B, housekeeping, engineering, and administration.
- Communicate and negotiate with vendors to obtain the best terms for pricing, quality, and delivery.
- Monitor inventory levels and maintain appropriate stock levels to meet operational demands.
- Prepare accurate purchase orders and maintain procurement records and databases.
- Track deliveries and coordinate with receiving staff to ensure accurate and timely receipt of goods.
- Address discrepancies such as short shipments, incorrect items, or damaged goods.
- Collaborate with finance to ensure accurate and timely payment of supplier invoices.
- Evaluate vendor performance and assist in vendor selection and contract renewals.
- Ensure procurement activities comply with hotel policies and hospitality standards.
- Contribute to cost-control initiatives by identifying opportunities for savings or efficiencies.
Qualifications:
- High school diploma or equivalent required; degree in Supply Chain, Business Administration, or Hospitality preferred.
- 1–3 years of experience in a purchasing or procurement role, ideally in the hospitality sector.
- Knowledge of procurement systems and best practices.
- Strong negotiation, communication, and interpersonal skills.
- Proficiency in Microsoft Office and purchasing software (e.g., BirchStreet, Marketboomer).
- Detail-oriented with strong organizational and time management skills.
- Ability to work independently in a fast-paced, deadline-driven environment.
Working Conditions:
- Primarily office-based, with regular interaction with suppliers, storerooms, kitchens, and other departments.
- May be required to work outside of standard business hours, including early mornings, evenings, weekends, or holidays, depending on operational needs.
Job Type: Full-time
Pay: ﷼2,500.00 - ﷼3,000.00 per month
