We are looking for a highly organized and detail-oriented Order Desk Executive to join our team. This role plays a critical part in ensuring smooth processing of sales orders, delivery notes/Pick releases, invoicing, and communication between internal departments such as Sales, AR, SCM, and 3PL.

The ideal candidate must have strong Excel skills, accuracy in documentation, and the ability to work under pressure in a fast-paced environment.

✅ Sales Order Management
  • Verify signed PI as per LG/AR terms.
  • Ensure 100% accuracy in sales order entry.
  • Correct RAD and RSD dates in the system.
  • Process orders promptly based on sales team request.
✅ Order Booking
  • Validate pricing and payment terms.
  • Confirm daily sales order booking.
  • Ensure booking reflects customer and commercial terms.
✅ Delivery notes and Pick releases on time
  • Issue delivery notes and WH schedules.
  • Coordinate with SCM team for appointment and dispatch.
  • Align with delivery schedules and confirm timely dispatches.
✅ Invoicing and Letter of credit Documentation
  • Handle LC documentation, stamping, and bank submissions within 10 days.

✅ Return and Others out sample Orders
  • Process RMA, return, re-invoicing, and special requests.
  • Track and close return orders in system.
  • Follow up for EP approvals (e.g. price corrections, new ship-to, return orders).
✅ Daily System Validation
  • Validate delivery plan vs system records (appointments).
  • Escalate discrepancies and ensure data correction.
  • Maintain real-time data accuracy in ERP system.


Team Collaboration
  • Work closely with Sales, AR, SCM, and 3PL teams for smooth workflow.
  • Ensure alignment on deliveries, returns, invoicing, and order terms.
  • Provide timely updates to internal teams on pending and critical tasks.

Qualifications & Requirements:

  • Bachelor’s degree in Business, Logistics, or relevant field.
  • 2–5 years of experience in order management, sales operations, or logistics coordination.
  • Strong Excel skills (VLOOKUP, pivot tables, basic formulas).
  • Good knowledge of ERP/order processing systems.
  • Strong communication, coordination, and follow-up abilities.
  • Ability to multitask, prioritize, and maintain accuracy under pressure.
